How Auto Repair Shops in Florida Get Work Authorizations Signed on the Spot

By AddSign Team

Running an auto repair shop in Florida means you cannot start most repairs without a signed work authorization. The customer drops off the car, you diagnose the problem, and now you need approval before you can order parts and begin work. If the customer is standing at the counter, this is simple -- hand them a clipboard and they sign. But increasingly, the customer has already left. They dropped the car off before work, or they are waiting at home for a call.

Now you are in phone tag territory. You call with the diagnosis and estimate. They say "go ahead." But a verbal approval is not a signed authorization. If the final bill is higher than expected, or if there is a dispute about what was authorized, you have no documentation. Florida's Motor Vehicle Repair Act (Section 559.905, Florida Statutes) requires a written, signed estimate before beginning work over a certain threshold. A verbal "go ahead" does not meet this requirement.

E-signatures let you get that written authorization signed remotely in minutes. Send the estimate and authorization to the customer's phone, they sign from wherever they are, and you start the repair with proper documentation.

The Authorization Problem in Auto Repair

The Drop-Off Dilemma

The most common scenario: a customer drops off their vehicle early in the morning before your shop opens, or during their lunch break. They leave the keys and a note about the problem. Your technician diagnoses the issue and prepares an estimate. Now you need the customer's signed authorization to proceed.

Without e-signatures: You call the customer. Maybe they answer, maybe they do not. If they answer, they say "go ahead." You have a verbal approval but no signed document. If they do not answer, the car sits until they call back. Either way, the repair is delayed and your documentation is incomplete.

With e-signatures: You send the estimate and work authorization to their phone. They open it during a break, review the estimate, and sign electronically. You have a signed authorization in your system within the hour, and the repair starts immediately.

The Upsell Documentation Issue

A customer brings in their car for an oil change. During the inspection, your tech finds the brake pads are worn to the point of needing replacement. The customer is not there -- they are at work. You need their authorization for the additional work, including a revised estimate.

This is where verbal approvals get shops in trouble. The customer says "sure, do the brakes too." You do the work. The bill comes to $450 instead of the expected $60 oil change. The customer disputes the charge and says they never authorized that much work.

With an e-signed authorization that includes the revised estimate and the customer's electronic signature, you have a timestamped record of exactly what was authorized and at what price.

The Compliance Requirement

Florida's Motor Vehicle Repair Act requires that a motor vehicle repair shop provide a written repair estimate and obtain authorization before beginning work. For repairs above a certain amount, a signed written estimate is the standard of documentation. E-signatures meet this requirement -- electronic signatures are legally binding under both the federal ESIGN Act and Florida's Uniform Electronic Transactions Act (UETA).

How E-Signatures Work at a Repair Shop

At the Counter (Customer Present)

When the customer is standing at your service desk:

  1. Open your work authorization template in AddSign.
  2. Fill in the vehicle info (year, make, model, VIN), the customer's name, and the repair details with estimate.
  3. Toggle on "Sign Here" in-person mode.
  4. Turn the tablet toward the customer or hand them your phone.
  5. They sign on the screen.
  6. Done. Start the repair.

This replaces the clipboard and carbon copy form. The signed document is stored digitally with a full audit trail.

Remote Authorization (Customer Not Present)

When the customer dropped off and left:

  1. Open the work authorization template.
  2. Fill in the vehicle and repair details.
  3. Add the customer's email address.
  4. Send.
  5. The customer receives an email with a link to review the estimate and sign from their phone.
  6. When they sign, you get notified and the repair begins.

Revised Estimates and Change Orders

When additional work is needed:

  1. Create a revised work authorization with the new items and updated total.
  2. Send to the customer for signature.
  3. Do not begin the additional work until the revised authorization is signed.

This protects both you and the customer. They know exactly what they are approving, and you have documentation of their approval.

Common Auto Repair Documents for E-Signature

  • Repair estimates and work authorizations -- the primary use case
  • Revised estimates / change orders -- when additional work is needed
  • Parts authorization -- approval to use specific parts (OEM vs aftermarket)
  • Storage agreements -- when a vehicle will remain on premises beyond a certain period
  • Customer pickup acknowledgments -- customer confirms vehicle condition at pickup
  • Warranty claim forms -- documentation for warranty-covered repairs
  • Payment authorization -- credit card or payment plan approval

Setting Up Your Shop

Step 1: Create Your Work Authorization Template

Upload your existing work authorization form (the same one you use now, in PDF format). Place signature fields where the customer signs: authorization signature, date, and printed name. Add any custom fields for vehicle info, repair description, and estimated cost if they are not already in the form. Save as a template.

Step 2: Put a Tablet at the Service Desk

A dedicated tablet at the service desk makes in-person signing natural. When a customer walks in, the service advisor pulls up the authorization on the tablet instead of reaching for a clipboard. An iPad or inexpensive Android tablet works well and sends a professional signal.

Step 3: Collect Customer Email at Drop-Off

When a customer drops off a vehicle, always collect their email address along with their phone number. This allows you to send the estimate and authorization electronically once the diagnosis is complete. A sign at the drop-off area or a field on your key drop envelope can prompt this.

Step 4: Train Your Service Advisors

The training is minimal:

  1. Open AddSign, select the work authorization template.
  2. Fill in the vehicle and customer details.
  3. For in-person: toggle "Sign Here," hand to customer.
  4. For remote: add customer email, send.

That is the entire workflow. Most service advisors pick it up in one or two tries.

Why Florida Shops Should Pay Attention

Florida's combination of high vehicle volume, strict Motor Vehicle Repair Act requirements, and year-round auto repair demand makes proper documentation essential. The state has active consumer protection enforcement, and shops that cannot produce signed authorizations during disputes or inspections are at a disadvantage.

The year-round driving season in Florida also means consistent repair volume -- there is no winter slowdown like in northern states. Your documentation process needs to be efficient enough to handle steady throughput without creating bottlenecks.
